Most wedding days don’t fall apart because couples didn’t plan beautifully.
They fall apart because the final details were never fully confirmed.
And that’s where Wedding Day Management becomes priceless: not because you need someone to “help,” but because you need a professional to lead the vendors, confirm the details, and run the logistics so the day doesn’t rely on hope.
When I step in for Wedding Day Management, one of the first things I do is vendor communication and confirmation. I’m not just checking in, I’m making sure every vendor has the exact information they need to execute the day seamlessly.
Below is my exact vendor confirmation process and the questions I ask every vendor.
Why Vendor Questions Matter More Than You Think
A wedding involves multiple teams, multiple deliveries, multiple timelines.
If one vendor is off by even 15 minutes, it creates a ripple effect.
Vendor communication isn’t about being “organized.”
It’s about:
• preventing delays
•protecting the couple’s experience
• keeping the timeline intact creating smooth transitions
• ensuring every professional is aligned
The Core Vendor Questions I Ask Every Vendor
These are the questions I ask every vendor (regardless of category).
1) What time are you arriving onsite?
Not “around,” not “sometime before.”
I confirm the exact arrival time.
2) Who is your main point of contact on wedding day?
I need a name + cell phone.
No office line, no assistant’s assistant.
3) What is your setup time and what do you need access to?
Example:
• venue access time
• load-in instructions
• setup duration
• staging area
• power needs
4) What time do you need final decisions by?
Some vendors need information earlier than couples realize:
• song lists
• family photo list
• menu counts
• floor plan approval
5) Are there any “hard deadlines” on your end?
Example:
• catering must plate by a specific time
• florist needs access before guests arrive
• DJ needs sound check completed
6) What do you need from the couple vs. what do you need from me?
My goal is to remove stress from the couple.
I become the primary point of contact so they’re not answering calls in glam.

The Best Vendor Question (My Favorite)
“What could delay you on wedding day?”
This question changes everything.
It uncovers:
• power issues
• access issues
• missing items
• late arrivals
• communication gaps
A luxury wedding doesn’t run smoothly because it’s expensive.
It runs smoothly because it’s managed.
