But the truth is, vendors don’t coordinate with each other automatically.
And most wedding-day issues happen because confirmations were incomplete or never done at all.
That’s why vendor confirmations are one of the most important parts of my Wedding Day Management process.
When I Start Vendor Confirmations
I begin vendor confirmations 6–8 weeks before the wedding (my takeover phase).
This is when:
• final details are available
• vendors are responsive
• timelines can still be adjusted
• problems can be solved early
What I Send (The Exact Vendor Confirmation Packet)
1) Master Wedding Day Timeline
This includes:
• arrival times
• photo windows
• ceremony cues
• reception flow
• key transitions
2) Vendor Contact Sheet
Every vendor receives the updated list of:
• vendor names
• contact numbers
• load-in instructions
• venue contact
• emergency contact
3) Venue Logistics Notes
Things like:
• where to park/load in
• what entrances to use
• where setup happens
• what time access begins
4) Specific “Confirm Back” Questions
I ask vendors to reply confirming:
• arrival time
• setup time needed
• any outstanding needs
• anything that could delay them
When I Send It (My Timeline)
8 Weeks Out:
• send intro email to all vendors
• request any missing vendor insurance, docs, or final details
6 Weeks Out:
send first version of timeline + vendor confirmation packet
3–4 Weeks Out:
finalize timeline updates confirm all vendor arrival windows
Week Of Wedding:
• final confirmation email/text
• confirm final names, cue points, and timeline
